1. Scope & who this applies to
This policy applies to individuals and organizations that (1) visit or use our website, (2) create an account with MixnVO, (3) upload audio or scripts, or (4) use our APIs or integrations.
If you are acting on behalf of an organization, you confirm you have the right to provide personal data and consent.
2. Information we collect
We collect information you provide directly and information collected automatically when you use the Services.
A. Information you provide
* Account & profile: name, email, phone, company, role, profile image, billing address, and subscription details.
* Project content: scripts, audio recordings, transcripts, project metadata, notes, and files you upload or create within MixnVO.
* Consent records: signed releases, voice-consent forms, and any permissions you grant for cloning, TTS, or distribution.
* Communications: support tickets, emails, chat transcripts, and feedback.
B. Automatic and technical data
* Usage & behavior: pages visited, features used, timestamps, and session logs.
* Device & connection: IP address, browser, operating system, device identifiers, and locale.
* Derived metadata: transcripts, speaker labels, timestamps, sentiment tags, and other analysis outputs produced from project audio — treated as user-provided content for the purposes of storage and processing.
C. Third-party sources
When you connect third-party services (e.g., cloud storage, analytics, single sign-on), we collect the information you authorize those services to share.
3. How we use information
We use personal data to provide, improve, and secure the Services, and to communicate with you. Key uses include:
* Delivering MixnVO features such as transcription, localization, voice-matching, and project collaboration.
* Managing accounts, billing, and subscriptions.
* Processing and storing audio/projects per your instructions.
* Enabling collaboration (sharing files, comments, and project assets among team members you designate).
* Detecting and preventing fraud, abuse, or security incidents.
* Improving and personalizing product features, recommendations, and UX.
* Communicating service updates, legal notices, and (where permitted) marketing messages.
Model training & your content: We will not use your audio, scripts, or project content to train or improve our AI models unless you explicitly opt in via a clear consent flow. If you opt in, we will document the scope, retention, and revocation process.
4. Legal bases (if you are in the EEA/UK)
Where applicable, we process personal data based on one or more of the following:
* Performance of contract (to provide services you request).
* Consent (for optional features like voice cloning or marketing subscriptions).
* Legitimate interests (product improvement, security, fraud prevention — balanced against your rights).
* Legal obligation (to comply with laws or enforce our Terms).
5. Cookies & tracking
We use cookies and similar technologies for:
* Essential functionality (authentication, security).
* Performance & analytics (understand usage and improve features).
* Preferences (language, UI settings).
You can control cookies through your browser and our cookie settings. Disabling non-essential cookies may affect some features.
6. Sharing & disclosure
We share personal data only in limited situations:
* Service providers: cloud hosting, transcription engines, payment processors, analytics, customer support, and other vendors who act on our behalf and under contracts restricting use of your data.
* With your consent: when you authorize sharing (for example, pushing files to your cloud storage or integrating with third-party apps).
* Business transfers: in connection with mergers, asset sales, or financing transactions — with notice where required.
* Legal & safety: to respond to lawful requests, comply with legal obligations, or protect rights, property, or safety.
We require vendors to use reasonable protections and limit their use to the services they provide for MixnVO.
7. International data transfers
MixnVO operates globally; data may be transferred to and processed in countries other than where you live. When transfers occur, we use legally recognized safeguards (e.g., Standard Contractual Clauses) where required.
8. Data retention
We retain personal data as long as necessary to provide Services, meet contractual and legal obligations, and for legitimate business purposes. Example retention practices:
* Account & billing: retained while account is active and up to 7 years after closure for tax/audit purposes.
* Project files: retained for the lifetime of the project/account unless deleted by you. Backups may remain for a short additional period.
* Logs & diagnostics: retained for a period consistent with operational needs (commonly 12–36 months).

9. Your rights & choices
Subject to local law, you may have the right to:
* Access the personal data we hold about you.
* Correct inaccurate information.
* Delete your account and personal data (subject to legal retention obligations).
* Restrict or object to certain processing.
* Obtain a machine-readable copy of data you provided.
* Withdraw consent where processing is based on consent.

If you are an EU/UK resident, you may lodge a complaint with a supervisory authority if unsatisfied.
10. Sensitive features: voice cloning & synthetic audio
MixnVO may offer features that synthesize or clone voices. These features have additional safeguards:
* Explicit consent required. We will not create or use a cloned voice without a signed release and clear consent options in the UI.
* Watermarking & labeling. Synthetic audio samples provided for review will be labeled; production assets may carry metadata indicating synthetic origin.
* Right to revoke. You may revoke consent for a cloned voice; we will provide instructions and will not use the voice for new processing after revocation. Residual copies required for audit/backups may remain as required by law.
11. Security
We implement industry-standard measures (encryption in transit, role-based access controls, logging, least-privilege practices) to protect data. However, no service can guarantee absolute security. We will notify affected users and regulators where required by law if a breach materially affects personal data.
12. Children
Our Services are not intended for children under the age of 13 (or higher age where local law requires). We do not knowingly collect personal data from children. If you believe a child has created an account, contact us to arrange deletion.
13. Third-party sites & links
Our Services may link to third-party websites and embed third-party tools. Those services have their own privacy practices; MixnVO is not responsible for their policies.
14. Changes to this policy
We may update this Privacy Policy as our Services evolve. Material changes will be posted with a new "Effective date" and, where required, notified to users by email or an in-product notice.
